Send a report card after a visit

Report cards are how you show a client exactly how their pet's visit went - a warm recap with the mood, the potty breaks, a highlight, and a photo or two. You don't build one from scratch: you fill it in as you wrap up the visit, and Chester sends it for you.

The short version
  1. Finish the visit and tap End Session.
  2. Fill in the quick report card that opens - mood, potty, a highlight, a photo.
  3. Choose when to send, and tap Send Report Card. Done.

On your phone

Report cards are built into ending a visit, so there's nothing extra to remember.

  1. From your schedule, open the visit you're finishing.
  2. Tap End Session. If report cards are turned on for your business and this client receives them, the report card opens automatically.
  3. Fill in what happened - every field is optional, so add what's useful:
    • Mood - how the pet seemed (Great, Good, Tired, Anxious, Unwell). On every visit.
    • Energy - on walks, training, and day or overnight stays.
    • Potty breaks - on walks and day or overnight stays; tap for pee and poop, and flag the consistency if something's off.
    • Appetite - on sitting, boarding, and daycare visits, where the pet eats during the visit.
    • Highlight moment - the one nice line the client will remember. This is also what shows in their notification.
    • A note to the client, and photos (or a video on Pro plans).
    • Medication - if the pet has meds on file, confirm you gave them.
    • For grooming or training visits you'll also see service-specific fields, like services performed, a next-visit suggestion, or homework.
    • Internal note - anything here stays with you and your team. Clients never see it.
    • On a walk, Chester adds the route and distance automatically - you don't type anything.
  4. Choose when it goes out: Send now, in 1 hour, or in 2 hours (handy if you'd rather it land a bit later).
  5. Tap Send Report Card.

On the web

  1. Go to Report Cards and choose Create.
  2. Pick the completed visit you want to write up.
  3. Fill in the same fields. On the web you type the walk distance in yourself, and there's no send-delay - it goes out when you submit.
  4. Tap Send Report Card.

What your client gets

  • A push notification ("New Report Card") with your highlight line, plus an email.
  • The full report card in their Chester portal: mood, potty, medication, your note and photos, and for walks the route and distance. Your internal note is never included.

Privacy is handled for you

Some clients would rather not receive report cards, and Chester respects that automatically. If a client is set to private - either by you, or by their own choice - Chester will not send them a report card, full stop. You never have to remember who opted out; the app simply won't deliver it.

A client set to lightweight gets a shorter card - potty, medication, and your note, without the mood and energy details.

Good to know

  • Group visits: if two or more households share one booking, Chester opens a group report card (a shared note plus a quick per-pet section) and hides each family's exact walk route from the others.
  • Video is available on Pro plans.
  • Each visit gets one report card.
