Send agreements and get documents signed

An agreement is a reusable bundle of the documents a new client needs to complete - waivers, vet releases, policies - all in one place. You build it once, send it to a client, and watch it move from pending to signed without chasing paper.

The short version
  1. Build an agreement and add the documents that go in it.
  2. Send it to a client from the agreement.
  3. Watch each client's status go from Pending to In Progress to Completed.

On your phone

  • Build one: on the More tab, tap Service Agreements, then open the Agreements card and tap + Create New Agreement. Give it a name, tap + Add Document, and pick a type:

- Read Only - the client reads and acknowledges (welcome letters, safety protocols). - Agreement - the client must sign (contracts, liability waivers). - Upload - the client attaches a photo or file (proof of insurance, a printed waiver). Type the content or Upload PDF, mark it Required if it's mandatory, then tap Create Agreement.

  • Send it: open the agreement, tap Send Agreement to Client, and pick the client.
  • Track it: the agreement's status screen lists each client with a Pending, In Progress, or āœ“ Completed badge and a progress bar of documents done.

On the web

  • Build one: in the left menu, click Agreements, then New Agreement. Name it, use Add document to add each item and its type (Read Only, Agreement, or Upload), mark items Required as needed, and click Create Package.
  • Send it: on the Agreements page, expand the agreement's card and click Send to client, then choose the recipient.
  • Track it: the same card shows each assigned client with a Pending, In Progress, or Completed pill. Expand a client to see the record of exactly what they acknowledged, signed, or uploaded.

What your client gets

The agreement lands in the client's portal under Documents to sign, flagged Action required until it's done. They open each document and, depending on its type, read and acknowledge it, sign it (they can draw or type their signature), or attach a file. Their progress saves as they go, and the status you see updates as each required document is completed.

Good to know

  • Only required documents gate completion. A client counts as done once every Required item is finished - optional ones don't hold them up.
  • Set an agreement inactive to stop sending it. Inactive agreements are tucked into a collapsed section but stay one tap away to reactivate.
  • Edited an agreement after sending it? If you add documents, you can resend the updated version - already-completed documents are preserved, and only outstanding items are replaced.
  • Uploaded PDFs are capped at 10 MB per document.
  • Managing agreements is limited to the owner and to team members with the "Edit business settings" permission - they're business-wide client contracts. Ask your business owner to grant this in Settings if you need it.
  • Keep vaccination records out of agreements. Add those under Vaccinations instead, so Chester can read the dates and send renewal reminders.
